Who is Soul Balance Pilates

Soul Balance Pilates has been founded by Aleksandra Ellis and is a small Pilates business offering local classes and studio 1:1s to its customers.

What information do we collect about you?

Soul Balance Pilates takes our clients’ security and privacy very seriously. We do not share any information with third parties, nor do we collect or retain any information other than that necessary for us to provide our services to you.

Classes & 1:1s

For our classes and 1:1s, we collect the following types of information about you: Your name, address, contact telephone number and email address. We collect this data in order to communicate with our clients to send class and 1:1 confirmations and reminders, class pass purchases and renewals, refunds and cancellations. We also require that new clients complete a Health Questionnaire prior to their first class (see below).

How will we use the information about you?

Classes and 1:1s

In order to enable us to provide our services to you, it is necessary for us to use the personal information you provide us with. This information is only viewed by class and 1:1 administrators. We store the information securely and destroy it securely if it is no longer required by Soul Balance Pilates. We will remove this information from our system 7 years after your last visit to Soul Balance Pilates.

Soul Balance Pilates does not share any information with unrelated third parties nor do we collect or retain any information other than as required for the provision of our services.

Health Questionnaires

In order to safeguard the health of our clients, we ask clients to complete a Health Questionnaire when using the website to book their first class or 1:1 with Soul Balance Pilates. The information gathered on this form is strictly confidential and is solely to inform our teachers of any medical conditions. This information enables our teachers to provide safe alternative options during classes and 1:1s, and, where necessary, advise clients from undertaking the class/1:1 that they wish to sign up for. Health Questionnaires are filled out using Google Forms and will be sent to all new clients. A link to this Google form will also be added to every confirmation email sent after booking a class or 1:1 and clients are asked to amend or update the form when necessary. Forms are collected via Google Forms.

Acuity Scheduling

Soul Balance Pilates uses third party software provided by Acuity Scheduling to manage all class and workshop bookings. In order to book classes and 1:1s via the website, clients must register with the Soul Balance Pilates Acuity Scheduling system through the website when booking a class (www.soulbalancepilates.co.uk/bookaclass). Once registered, clients can modify their personal information or delete their account.

Acuity Scheduling is affiliated to Squarespace, and stores all data in servers and backup servers located in the United States. Acuity Scheduling has Privacy Shield certification which complies with GDPR regulations relating to transferring data outside of the EU. Access to your information and correction (subject access request)

Under GDPR, individuals have a right to request what data we hold about them (known as Subject Access Request). It is our obligation to provide this information within 30 days. Removing or correcting data

Personal information collected by Soul Balance Pilates and our website is stored in secure operating environments that are not available to the public. Soul Balance Pilates will protect your personal information no matter where we process or store your data.

Changes to our privacy policy:

We keep our Privacy Policy under regular revision. As such, we reserve the right to change our Privacy Policy at any time. Should this occur, we will post all amendments on our website.
